UREG Course Cleanup Initiative: First Inactivation Cycle Complete

We are pleased to announce the successful completion of the first course inactivation cycle as part of the UREG Course Cleanup Initiative. This important effort supports the ongoing accuracy and efficiency of the University’s academic catalog.

Thanks to the collaborative efforts of faculty, staff, and administrators across Grounds, we completed the inactivation cycle ahead of the May publication of the 2025–2026 Undergraduate and Graduate Records.

Inactivation Summary

As of April 25, 2025, a total of 4,215 courses have been inactivated:

  • 3,676 courses not taught since Spring 2022

  • 539 courses that were never taught

These courses are no longer visible to the public catalog but remain available in SIS and UBI for administrative use, historical reference, and reactivation if needed.

Excluded Courses

Several types of courses were excluded from this inactivation process and remain active:

  • Courses created or modified within the past two years

  • Topics courses (numbered X559 or X5XX)

  • Transfer courses (with a “T” suffix)

  • Courses that departments specifically requested to retain

Reactivation Process

Departments and schools may reactivate courses at any time using the Course Update form in Modern Campus Curriculum.

What’s Next

Moving forward, UREG plans to conduct this review and inactivation process annually. The next cycle is expected to begin in February 2026 and conclude in April 2026. This timeline will provide ample opportunity for departments to review identified courses and request modifications or exclusions as needed.

Summer 2025 Curriculum Access and Updates


🗓 Deadline for 2025–2026 Course Proposals: May 23 at 5:00 p.m.

To be included in the 2025–2026 Undergraduate and Graduate Records, course proposals must:

  • Be submitted in Modern Campus Curriculum

  • Reach the UREG review step by 5:00 p.m. on Thursday, May 23

Proposals submitted after this deadline will still be processed in SIS but will appear in the 2026–2027 Records.


🔧 No System Downtime This June

Modern Campus Curriculum will remain open throughout the summer.

Minor updates, such as form name changes (e.g., removing “2025–26” from titles) and formatting revisions, may occur. For guidance on which forms your school should use, please contact us.


🗑 Stuck, Cancelled, and Held Proposals Will Be Purged on June 2

If you wish to retain a copy:

  1. Log into Curriculum: https://virginia.curriculog.com/

  2. Locate the proposal using the magnifying glass in the top right.

  3. Open the proposal, click the printer icon, select your print options, and save or print the PDF.

UREG will also archive all proposals before deletion.

We also encourage all units to review and, if needed, update their approver roles before the fall term. Please submit any changes using the 100.1 Approver Role Management form.

4/16/2025 | Course Cleanup Initiative: Important Updates
Dear Colleagues, 
To better serve our students and support academic success across the university, the Office of the University Registrar (UREG) is launching the UREG Course Cleanup Initiative. As part of this effort, 5,526 courses will be inactivated next week. This initiative is designed to ensure the Undergraduate and Graduate Records, SIS, and Stellic reflect only active, accurate course offerings, helping students plan their academic journeys with clarity and confidence. 
Why This Matters 
An accurate, up-to-date course catalog is essential for supporting student success. When inactive or rarely offered courses remain listed, students may unknowingly plan their schedules around courses that are unlikely to be offered. This can lead to delays in degree progress, missed opportunities, and unnecessary confusion, especially as students map out their degree progress in Stellic. 
The impact extends beyond current students. Prospective students and their families often use the course catalog to explore academic programs and envision their university experience. Cleaning up the catalog helps ensure that students can make informed decisions, set realistic goals, and engage fully with the opportunities available to them. This initiative also allows advisors and departments to have a clearer, streamlined view of the curriculum, enhancing the academic experience for everyone. 
What We’ve Found 
As part of this review, UREG has identified: 
  • 775 courses that have never been taught 
  • 4,751 courses that haven’t been offered in the past three years 
All of these courses are currently listed as active in SIS and were activated three or more years ago. In total, 5,526 courses are slated for inactivation. A list of these courses is available here for your review. Please note that the document is view-only; however, you may download a copy and filter by your respective schools and departments.
What’s Next 
  • Week of April 21: UREG will inactivate the identified courses. This process involves uploading a formatted file directly into SIS to inactivate multiple courses at once. Each course will be assigned an inactive date corresponding to the day the update is made. No action is required from the schools. 
  • Following that: The courses will no longer be visible in university systems. 
  • Ongoing:  
  • UREG plans to conduct annual reviews of courses that have not been taught in the past three to five years in order to maintain catalog accuracy. Details are forthcoming.  
  • Departments will have the ability to request bulk inactivation independently. This process is being developed and will be managed through Modern Campus Curriculum. 
Course Reactivation 
Departments can request to reactivate a course by submitting a course update form in Modern Campus Curriculum. Step-by-step instructions are attached.
