Dear Student,

Did you know that as a student at UVA, your education records are protected by federal law? We want to be sure you know your rights under UVA’s Family Educational Rights and Privacy Act (FERPA) policy.


Your student records belong to you, and you have the right to:

  • Review your records;

  • Request an explanation of your records;

  • Request a hearing to challenge their content; and

  • File complaints with the U.S. Department of Education at the following mailing address, if you feel UVA has not complied with FERPA:

UVA won’t release your records without your permission to anyone other than those parties specifically authorized by FERPA. The exception to this is Directory Information.

UVA does not publish your Directory Information but may release it to third parties to verify your enrollment or certify your degree, or when otherwise permitted by law. Directory Information includes:

  • Biographical details (name, year of birth)

  • Academic information (major field of study, school of enrollment, level and year in school, full-time/part-time status, medical residency placement)

  • Attendance details (location of attendance, dates of attendance)

  • Participation in officially recognized activities and sports

  • Candidacy for degree

  • Expected graduation date

  • Degrees, honors, scholarships, awards received

  • Any unique identifying number created for the purpose of compiling, releasing, or transmitting Directory Information


 

Don’t want to share your Directory Information? Our office can place a FERPA restriction on your academic record. The University would have to refuse record requests from people or organizations outside of UVA unless you provide written consent. This includes verification of education/degrees earned at UVA. Please carefully consider the impact of withholding your Directory Information.

Dear Student, 

Congratulations on your upcoming graduation! Before that day arrives, we want to make sure that your name is correctly printed on your diploma and that it is mailed to the correct address. To do this, please review your personal information in SIS.

Diploma Name 

Your Primary Name in SIS will be the name printed on your diploma. Here's how to view it. Please note that updating your Preferred Name will not change how your name is printed on your diploma. 

If your Primary Name is incorrect or you want to make any changes, such as adding your middle name or omitting punctuation, please fill out the SIS Primary Name Update Form before December 1st, 2024

Prefixes such as Mr., Mrs., Ms., or Dr. are not included on the diploma.


Diploma Mailing Address 


We will use your Diploma Address in SIS to mail your diploma. Please verify that all portions of the Diploma Address, including the country, are correct. We will not use your Home or Mailing Address to mail your diploma. 
 
If you are leaving the country after graduation, we strongly suggest using the address of a friend or family member within the United States for your Diploma Address. This will ensure timely and safe delivery. 

Here's how to view and update your Diploma Address in SIS. The deadline to update your Diploma Address is also December 1st, 2024. 


Diploma Shipping 


Diplomas are expected to ship in mid-February, and those shipped to the United States should be delivered in March. Those shipped internationally should be delivered in late March. These dates are estimates only. 

You will receive two emails from info@cecredentialtrust. One will contain tracking information for your physical diploma, the other will provide instructions for accessing your CeDiploma through your SIS account once it has been released. For more details, visit the CeDiploma Information page

8/27/2024 |REMINDER: Fall 2024 Enrollment Deadline Information

Dear Students,

I hope these first days of the semester have gone smoothly. This is a friendly reminder of important upcoming dates and things to keep in mind as you finalize your class schedule.

Last day to ADD classes: Tuesday, Sept. 10.

If you want to add a class to your schedule, you have until 11:59 p.m. EDT on Sept. 10. 


Last day to DROP classes: Wednesday, Sept. 11. 

In most undergraduate classes, Sept. 11 is the last day you can drop a class from your schedule. The last day to drop a class in the School of Engineering and Applied Science is Tuesday, Oct. 15. You may also click the following link for more information about fall enrollment.

Check (and recheck!) your class enrollment information in SIS. 
Carefully check your enrollment information before the add/drop deadlines. Pay special attention to your grading option for each class. Most of your classes should be taken for a traditional grade (A-F), which is the “Graded” grading option in SIS. For questions about a class grading option, please contact your school registrar for assistance. School contact information is available on the University Registrar’s website.

Be careful about choosing “CR/NC” as a grading option.
Classes taken for CR/NC meet very few degree requirements. Check with your dean’s office or your school website for more information about your school’s rules regarding CR/NC.

Verify your enrollment in SIS, not UVACanvas.
If you don't see a class listed under "My Schedule" in the SIS navigation menu, or if you are waitlisted for a class, you are not enrolled. Do not rely on UVACanvas to verify your enrollment details. SIS is what counts!

I write with a few important reminders about the start of term and the Student Information System (SIS). 

Last day to ADD classes: Tuesday, Sept. 10.

1/11, 1/18, 1/29 IMPORTANT: Spring 2024 Enrollment Deadline Information

Dear Students,

This is just a friendly reminder to check your SIS enrollment info, including your class schedule and grading options, as two important deadlines are coming this week.

Key Dates:

  • The last day to ADD classes is Wednesday Jan. 31, by 11:59pm. 

  • The last day to DROP classes is Thursday Feb. 1 (Feb. 28 for SEAS)

A few important things to remember:

  • Verify your class enrollment information in SIS and only in SIS. UVACanvas doesn’t count!

  • Choose the correct grading option for each class. Most of your classes should be taken with the traditional “Graded” grading option.

  • Be careful when choosing “CR/NC” as a grading option, as this meets very few degree requirements. Before choosing this option, it’s best to check with your school’s website or your dean’s office for more information about your school’s rules regarding CR/NC.

  • If a class doesn’t appear in your Class Schedule in SIS, or if you are waitlisted for a class, you are not enrolled!
